Scribe AI

How do I use Scribe AI?

On Home, tap the glowing microphone in Quick Actions, or tap + and choose Speak an update. Say what you did or plan to do, like “Two hours this morning, and I talked with John at 42 Oak St, follow up next Tuesday,” then tap Done. To type instead, tap the keyboard at the top of the screen while it listens. You can also scan handwritten notes on iPhone and iPad, or read photos of paper pages; check the text before you send it. Scribe AI shows what it understood as cards: time, plans, and contacts with their visits and follow-ups. Uncheck anything you don’t want, pick the right person when it asks something like “Which Maria?”, and tap Add. Nothing is added until you do. Tap an added contact or plan to open it. Right after, Undo in the message at the bottom of the screen takes it back, and for 30 days you can open the conversation from History (the clock in Scribe AI) and tap Undo there. If Quick Actions isn’t on Home, hold any Home section, tap Edit Home Screen, and add it back.

What can Scribe AI do?

Scribe AI can log time, including in a category such as LDC or a new one you name, change or delete time you logged, create Day Plans and change their date, start time or length, add contacts and update their name, phone, email or address, and log visits with follow-ups. It can also answer questions about your time this month or service year, your plans, your contacts and visits, and the plans your buddies share with you. Everything it would change appears as cards for you to review first. Apart from time you logged, it can’t delete anything, change your settings, create or change Recurring Plans, invite buddies, or send anything to anyone. When you plan with a buddy, the plan’s card reminds you to invite them once it’s added. If a visit note reads like instructions to an AI, Scribe AI may skip it and say it couldn’t read it.

How do Scribe AI limits work?

Scribe AI usage depends on how much it reads and writes, not on how many messages you send. A quick update uses a little; long conversations and paper pages use more. To see how much of each limit you’ve used, as a percentage, and when it resets, tap the percentage at the top of Scribe AI or open Settings → Scribe AI → Usage. Without Supporter, you have a monthly limit that starts with your first use and resets 30 days later. Supporters get much higher limits: a session limit that resets 5 hours after it starts, and a weekly limit that resets 7 days after it starts. If your Supporter subscription ends, the monthly limit applies again, counting what you’ve already used in it. When you reach a limit, Scribe AI tells you when you can use it again, and anything it was already working on still finishes. You can always add time, contacts and plans yourself. Reading paper pages counts toward the same limits, and you can read a limited number of pages in any 24 hours.

What does Scribe AI send, and what’s kept?

Your voice is turned into text on your device; recordings are never saved or uploaded. When you send a message, Scribe AI sends the conversation’s text and only the details it needs to understand it, such as today’s date, your goal, your upcoming plans and your contacts’ names, plus anything it looks up while answering. It goes over an encrypted connection through OpenRouter to a model host under a Zero Data Retention arrangement, so it isn’t stored or used for training. It carries a code made from your account that can’t be traced back to you, so the host’s safety checks apply only to you. WitnessWork’s server doesn’t keep your messages; it records only how much you used. Your conversations stay on this device and aren’t synced or backed up: it keeps your 50 most recent conversations, each for 90 days after you last used it. The records you add sync like any others. Photos of paper pages are resized on your device, with their location and other details removed, and read the same way; the app deletes its copy of each page once it’s read or you skip it, or when you close Scribe AI or start a new conversation. Your original photos stay in your library. With data protection mode on, Scribe AI doesn’t send your contact list or visit notes. Find the OpenRouter ZDR policy in Settings → About.

Why can’t I speak to Scribe AI?

Scribe AI turns speech into text only on your device, so voice needs on-device speech recognition for your app language. The first time you speak in a language, Scribe AI may wait while your device downloads that language’s speech model. On Android, voice needs Android 12 or later with on-device speech recognition for your language. Where it isn’t available, Scribe AI opens with the keyboard instead, so you can type. Voice also needs microphone access: if you turned it off, turn on Microphone for WitnessWork in your device’s Settings. If another app is using the microphone, close it and try again. If a call or switching apps stops a recording, what Scribe AI heard waits in the message box so you can finish it and tap Send.

Scribe AI got something wrong. What do I do?

Before you tap Add, uncheck any card you don’t want, or tap Say a change (or type) to tell Scribe AI what to fix, like “Make that Saturday at ten.” It replaces the cards with new ones. After you tap Add, tap Undo in the message that appears, or for up to 30 days open the conversation from History in Scribe AI and tap Undo there. Undo removes what was added and puts back what was changed or deleted, except a change you’ve edited again since, or a contact or type that something else now uses; Scribe AI says how many stayed. You can also edit any record yourself as usual. If Scribe AI keeps getting something wrong, email support from Still need help? in the Help Center, and describe what happened without sharing personal details.

What does Scribe AI remember about me?

Scribe AI keeps short notes about how you work, so you don’t have to repeat yourself. When you correct it (“No, the build is what I call LDC”), use your own word for something, mention a lasting preference, or say “Remember…”, it quietly saves a short note, and every new conversation starts with these notes. To forget one, say “Forget what I said about the build.”

To see, edit, or add notes yourself, go to Settings → Scribe AI → Memory. Write one note per line. Memory holds up to 1,500 characters; when it’s full, a note has to be shortened or removed before another can be saved, and you can make room yourself. Turn off Memory on the same screen to stop Scribe AI from reading or saving notes, or tap Clear memory to erase them all.

Your notes stay on this device. They aren’t synced or backed up. They’re sent along with each conversation, the same way as the rest of your messages, so they’re never stored or used for training. Scribe AI doesn’t save personal details about the people you visit, or anything it reads in your visit notes. A change you make in Settings applies from your next conversation.

Does Scribe AI work offline?

No. Scribe AI needs an internet connection to understand what you say. While you’re offline, its button shows a no-internet badge, and tapping it explains why. You can still add time, contacts and plans yourself, and Scribe AI works again as soon as you’re back online. If the connection drops while Scribe AI is answering, it picks up again by itself when you’re back online, unless you’ve typed or sent something since; then tap Try again. If it drops while reading photos of paper pages, Scribe AI keeps the pages it hasn’t read: once you’re back online, tap Try again in the message box to read just those pages without choosing the photos again, or Skip unread pages to keep only what was read.

What happened to Notes Import and Import Credits?

Notes Import is now part of Scribe AI. You can still type or paste notes, scan them on iPhone and iPad, or read photos of paper pages, and Scribe AI turns them into cards to review. Import Credits are gone: usage limits that reset on a schedule replace them (see How do Scribe AI limits work?). Imports you added before can still be undone for up to a year: open Scribe AI, tap History, and find them under Earlier imports.
